This addendum applies when a church, team, or quizzing program subscribes to a Program account. It adds to the Terms of Service and does not replace them. Where the two conflict on a Program account, this addendum governs.

Why this document exists, in one sentence: a Program subscription means an organization is arranging for other people's children to use a product, and the law is clear that the parents — not the organization — decide.

1. Who you are in this agreement

"You" is the church, team, or program named on the subscription. "Program Administrator" is the adult who holds the account and accepts these terms on your behalf. "Coach" is anyone you give coaching access to.

The Program Administrator must be 18 or older and authorized to bind your organization.

2. What a Program subscription is — and is not

It is: a program layer. Rosters, assignments, coach reporting, and shared practice.

It is not a way to create or hold accounts for children. A Program subscription buys seats, and a seat creates a personal quizzer account that belongs to the quizzer and is portable. The church buys the subscription, never the child's record. Every profile is created and owned by a parent or guardian's household account, even where your subscription paid for the seat. A coach's join code links an existing profile to your roster. Leaving the roster does not take the profile away, and closing your Program subscription does not delete anyone's practice record.

3. The rule that matters most: coaches invite, parents create

A coach may never create a profile for a child.

A coach may invite a parent or guardian by entering that parent's email address. BuzzerReady then sends the parent our Children's Privacy Notice and asks for their consent. Until the parent consents, no profile exists and nothing is collected about that child.

You agree that:

We monitor invitation patterns. A coach entering a large number of addresses, or addresses that bounce or complain, will be paused.

4. What coaches can see

A coach can see the practice record of a profile on their roster only where the parent or account holder has linked the profile and turned coach visibility on. The parent can turn it off at any time, and we will not tell you why.

Coach access exists for coaching. You agree that coaches will use it only to coach that quizzer — not to evaluate, rank, publish, or share a child's performance outside the team, and not for any purpose a parent would not expect.

Do not export a child's practice record and put it anywhere else — a bulletin, a social media post, a shared spreadsheet, a newsletter — without that parent's permission.

5. Who you let coach

You are responsible for the adults you give coaching access to. You confirm that you apply your own organization's screening and child-protection requirements to anyone you make a coach in BuzzerReady, and that you will remove their access promptly when they stop coaching for you.

BuzzerReady does not screen, vet, or supervise coaches, and does not run background checks. We are a practice tool. Child protection is your responsibility and your policy.

6. Your promises to us

You represent and warrant that:

  1. you are authorized to enter this agreement;
  2. every parent whose email address a coach enters has agreed to be contacted about BuzzerReady;
  3. you will comply with the Terms of Service, the Privacy Policy, and the Children's Privacy Notice;
  4. you will comply with all laws that apply to you regarding children in your care.

7. Indemnity

You will defend, indemnify, and hold harmless Conyers Apostolic Church and the people who operate it from any claim, demand, loss, liability, or expense (including reasonable legal fees) arising out of:

Terms of Service section 16 governs how this works in practice.

8. If you get it wrong

We will suspend or close a Program account that enrolls children without parental permission, or whose coaches misuse children's information. Where a child's safety or privacy requires it, we will act immediately and explain afterwards. Otherwise we will tell you first and give you a reasonable chance to put it right. Refunds follow Terms of Service section 6.

9. If a parent complains to us

We will act on a parent's instruction about their own child's information, and we do not need your agreement to do it. If a parent asks us to delete their child's profile, remove it from your roster, or stop coach visibility, we will do so. We will tell you the roster has changed. We will not tell you why.

10. When your subscription ends

11. Accepting this addendum

The Program Administrator accepts this addendum when the Program subscription is created, by an affirmative action recorded with the date, time, and version.
